Managing Off-Site Employees

With over 450 million mobile workers globally, it is no wonder why businesses large and small are looking for smart ways to manage their off-site employees. In today’s world, it is very common to have employees not only working in the main office, but also from satellite offices, remotely from home, and completing jobs off-site. With employees in so many different locations, it can be a difficult feat to keep them well managed and on task. Let’s take Carla for example:

without automated time & attendance

Carla is a payroll manager and works at the corporate office of her company located in Chicago with about 500 other employees. In addition to these 500 employees, Carla also oversees payroll for 18 employees that work at a satellite office in Indianapolis; 16 remote employees each working from home all over the country; and a service team that is based out of the corporate office, but completes most of their work off-site.

When payroll time comes around, Carla’s job can get a little hectic with employees spread out all over the country. She receives everything from paper time sheets to scanned versions of time sheets, faxed time sheets, and some incomplete/inaccurate time sheets.

with automated time & attendance

Switching Carla from the paper time sheet process to an automated time and attendance system will relieve much of the burden she faces during payroll, as well as keep employees productive and on task. With a time and attendance system like stratustime®, Carla can collect data from employees many different ways and all in one place.

  • Employees at the corporate office and satellite office may be clocking in and out on a physical time clock. They may also have access to a self-service employee dashboard from their computer where they can review their time sheet, submit time, and request time off — all in real time. This means that Carla can see who is on the clock right as they clock in, and receive alerts as employees make time off requests.
  • Employees working from home can also take advantage of the employee self-service dashboard from their desktop equipped with Internet, or use the telephony option with any land line or cell phone. No matter which method they choose, the data is still collected in real time.
  • Finally, the service team moving from job to job may benefit from the mobile interface. Not only can they clock in and out and request time off right from any smart phone with a data plan or Internet access, but a location stamp can also be tracked with each punch. This ensures that the service team is where they are supposed to be, and they’re not padding their time cards.
